Which handoff fields help the next reviewer act?

A registered observational study of field presence, clarification requests, and usable handoffs.

Operations teammates reviewing documented evidence together

Research question: Which predefined fields in a first-submitted handoff are associated with acceptance without a clarification request?

Scope: eight consecutive weeks of eligible handoffs in one recurring operations queue, with the queue, field dictionary, acceptance event, exclusions, and study window fixed in advance.

Methodology: Export each original handoff before viewing later messages. Code predefined field presence, link the first clarification and acceptance events by stable case ID, and retain exclusions with reasons. Report field combinations descriptively without searching for a favorable cutoff.

Unit of analysis: one first-submitted handoff for one eligible case. Stable identifiers keep replies, edits, and repeated checks from inflating the denominator.

Classification: accepted without clarification, accepted after clarification, returned for missing evidence, wrong route, duplicate, withdrawn, unresolved at cutoff, or unclassifiable.

Measures: eligible counts, class denominators, field-presence rates, clarification proportions, time-to-acceptance distributions, missing linkage, and correction counts. Report raw counts beside proportions and describe missingness.

Validation: Two reviewers independently code a stratified sample of accepted, returned, and unresolved cases, reconcile against the frozen codebook, and recode unseen cases.

Operating boundary: A Philippines-based specialist may collect permitted records and apply the frozen codebook. Named internal owners retain privacy, security, legal, financial, employment, policy, and customer-remedy decisions.

Data handling: Use named accounts, minimum necessary fields, documented retention, and de-identified reporting where practical. Register exclusions before reviewing outcomes.

Inference boundaries: Associations can identify fields worth testing in a revised template. They cannot prove that a field caused acceptance or will matter in another queue.

Limitations: Case complexity may influence field completion and clarification. Private replies may be absent, practices may change, and one queue limits transferability.

Conclusion: Test a revised template prospectively where specific fields repeatedly precede usable acceptance.
